How MotorDesk Integrates with Sage, Xero & QuickBooks

MotorDesk is the only car sales and invoicing system which is fully certified by Sage Cloud Accounting, Intuit QuickBooks and Xero Accounting.

You can connect any of these as third-party accounting services by going to your Business -> Connect Services section.

Invoices

MotorDesk provides live synchronisation with Sage, Xero and QuickBooks via their APIs - essentially when a sales invoice, purchase invoice or finance invoice is created in MotorDesk the document will be created in Sage, Xero or QuickBooks at the same time, and then kept automatically updated with any changes. The synchronisation also keeps your contacts updated automatically.

Cancellations

MotorDesk will remove the invoice and contacts from your accounting software upon cancellation of a sale or reservation.

VAT

This integration has the added benefit that it can automate the marginal VAT calculation in Sage, QuickBooks and Xero by splitting the vehicle sale line item into the cost without VAT and the profit with VAT - since MotorDesk provides the legal sales invoice this enables us to use the accounting software for the transactional accounting in this way, which you otherwise wouldn't be able to do if you were sharing the Sage, QuickBooks or Xero invoice with the customer.

Accounting Codes

Your accounting codes will be automatically imported from Sage, QuickBooks or Xero, and will then be available within MotorDesk. MotorDesk provides various options to allow you to set different default accounting codes for different types of invoices, and provides additional options to adjust accounting codes for specific contacts, products and invoice lines.

Reconcilliation

MotorDesk does not automate your payment reconciliation with your accounting software for two important reasons; human-error and fraud. MotorDesk allows you to mark an invoice as paid with a simple button click, helping to simplify your sales process and complete sales before your bank feed may have updated, however if this were allowed to update your accounting software it could potentially lead to error. Therefore the final payment reconciliation occurs via the accounting software and it's own bank feeds, helping to ensure every penny is accounted for, and eliminating potential for human-error or fraud.

Importing Contacts

If you have existing contacts in Sage, QuickBooks or Xero please contact us when you first connect your accounting software and we will be happy to import those contacts for you, preventing duplicate contacts from being created for any repeat customers.
