When I select the box to 'refund and cancel' reservation I get a brown box appear saying 'unable to refund payment'

If this is the case it means MotorDesk can't process the refund due to an error from the payment processor. It may simply be that it's too soon after the payment to refund, but the way to resolve it is to click Cancel & Credit Reservation instead in MotorDesk and then contact your payment processor to issue the refund.
